How do I turn an accepted quote into an invoice?

Find the conversion action, fix an inactive button and understand which details carry across.

From the quote generator

  1. Complete the quote and check the preview.
  2. Choose Quote accepted? Turn it into an invoice.
  3. Check the prefilled invoice, set payment details and terms, then download the invoice PDF.

The conversion action stays inactive until the business name, customer name and a positive item subtotal are present. If VAT is on, a VAT number is also needed. Follow the missing-details message; turning VAT off is appropriate only if you should not charge it.

From a saved quote

In My documents, find the quote and choose the invoice icon labelled Turn into invoice. Signed-in document actions stay in your dashboard workspace.

What carries across?

The invoice receives the business and customer details, items, VAT settings, logo and relevant notes. It uses its own invoice number sequence, a fresh issue date and invoice payment terms instead of the quote's expiry terms. Notes include As per quote followed by the quote number.

The original saved quote is kept. This creates a separate invoice draft, not a permanently linked pair: later changes to either document do not automatically change the other. Save the new invoice to account history by downloading its PDF while signed in.
